The Permanent Mission of Japan to the United Nations is seeking an Administrative Assistant in the Coordination Section.


Responsibilities include, but are not limited to:


1. Respond to telephone calls, both incoming and outgoing, with efficiency and professional etiquette


2. Assist in logistics/protocol for conferences, meetings, briefings, receptions, and other official functions


3. Draft and prepare letters and diplomatic correspondence


4. Manage appointment schedules for visiting diplomats and VIPs


5. Research and book hotels and airlines for reasonable prices and specials


6. Check quality of hotels and services


7. Give oral or written briefings to senior diplomats dependent on the situation


8. Receive guests as necessary


9. Respond to inquiries


10. Update and develop the official website of the Mission


11. Assist in arranging driver’s work schedule including overtime and leave of absence schedules


12. Assist other officers and staff in the section when needed


Requirements/Preferences:


1. U.S. citizenship required
2. Excellent English writing and verbal communication skills at native level required
3. Computer skills, typing skills (Microsoft Word, Excel, Dreamweaver & Photoshop) experience required
4. Japanese language skills preferred
5. College degree preferred

Internship Opportunities

 

The Political and Economic and Administrative & Budgetary Sections of the Permanent Mission of Japan to the United Nation are recruiting Japanese students who are currently studying abroad.

• Requirements: Must be a graduate or undergraduate student of an accredited college or university in the United States. If you are interested in applying to the Political Section, you must be a graduate student.


• Location: the Permanent Mission of Japan to the United Nation
866 UN Plaza, #230, New York, NY 10017 (48th St & 1st Ave)


• Term: At least 2 months, for a minimum of 3 days a week.
Please indicate when you can start your internship.


• Time: 9:30am-6:30pm


• Other Conditions:
1) Japanese citizenship required
2) Internship is for course credit only.
3) Possess legal US visa to stay in U.S.*


• Responsibilities:


-Political Section- provide support for Security Council Affairs, gather information about other meetings held at the UN


-Economic Section- provide support for development affairs or environmental issues


-Administrative & Budgetary Section- provide support for the international negotiations work at the United Nations Fifth Committee pertaining to the structure of the UN Secretariat and UN peacekeeping operations and with budgetary and personnel matters; provide administrative support for the Section’s day-to-day operation

 

All internship positions are unpaid. The Mission is not responsible for any expenses associated with the internship (i.e. transportation, board, lodging, etc.)

If you are a first semester graduate student and cannot submit a graduate student transcript, you can submit an official undergraduate college transcript. *As of 17 March 2006, some of the U.S. visa requirements for interns have changed. If you hold an F-1 or J-1 visa and your course of study (i.e. economics, political science, etc.) is related to the type of internship you are applying for as stated on your form I-20, there is no need to make any changes. However, if you are applying for an internship that is not related to your course of study, the Mission will need to change your visa to G-2, thereby canceling your current visa. Upon completion of the internship, the Mission will cancel the G-2 visa, and it will be the student’s responsibility to re-apply for their original visa.
